Cancellation Policy

In-Clinic and External Visits
Please provide at least 2 full business days’ notice if you need to cancel or reschedule a therapy appointment.
With more than 2 business days’ notice, no fee will be charged.
If less than 2 business days’ notice is given, the full session fee will apply.
Resource and planning fees for in-clinic sessions will not be charged if a session is cancelled.
Ongoing Appointments
Many of our clients have reserved, regular time slots each week. To respect both your needs and the needs of others:
- Repeated cancellations (3 or more in a row) may result in the loss of your regular appointment time to another family on the waitlist.
- Please contact reception if circumstances arise that may affect your ability to attend. We can explore other options for therapy together.
- You will be notified first before making any changes to your regular appointment times.
Group programs & External Visits
These services run as part of structured, specialised programs with limited places. Because sessions cannot be filled by other clients at short notice:
All scheduled sessions must be paid in full, regardless of attendance.
If you are unable to attend, your clinician will either:
Use the allocated time to prepare resources or update your child’s program, or
Offer an alternative format (e.g. telehealth or a home visit), where possible.
Therapy during holiday periods
We understand families may take time away during holiday periods. To support ongoing therapeutic progress:
We encourage you to continue attending sessions at the clinic, or arrange home visits where possible.
If more than 3 weeks are missed, your usual appointment time may be offered to another client.
We recommend speaking with your clinician to create a tailored holiday attendance plan.
Our Commitment to You
Consistency is key to progress. When appointments are kept, it allows our team to provide reliable care and ensures other families also have timely access to support. We’re grateful for your partnership in making this possible.
